Are you looking for a reliable logistics partner for your business and considering Coyote Logistics? Great! We’re happy that you’re thinking of entrusting us with the responsibility for the timely and safe delivery of your shipments. You might still have a few key questions before making your final decision. If that’s the case, we encourage you to read through this FAQ. 1. Coyote Overview &Onboarding

What services do you offer?

We offer road freight services, especially:

  • European full truckload services,
  • European groupage network and
  • Express van shipments across Europe.

Which countries do you cover or what areas are you particularly strong?

We operate on the European market, where we have developed a solid position and built strong relationships with proven carriers. We are most present in the UK, Germany, Benelux and Poland, but we also have the potential to support operations in almost all European countries.

Do you handle customs?

Yes, we have an in-house customs team, so we can arrange both export and import customs. For customers, we can also offer that as a standalone solution doesn’t mean that we have to do the transport to do the customs. If a customer already has a solution for the transport, but is looking for a customs broker, we can offer that service too.

What do you carry? Are there any particular verticals that you work in?

  • Food and Beverage: The largest share of our business;we ensure safe and efficient delivery of perishable goods.
  • Retail &Ecommerce: Our flexibility and adaptability compliments this sector perfectly;when fast and efficient service is key.
  • Healthcare: We specialize in moving medical devices and equipment that do not require additional certification, to support public and private healthcare organizations across Europe

We also serve the automotive sector and shippers from a range of manufacturing industries. In additionm, we also efficiently handle time-sensitive movements, often managing urgent shipments of equipment and machinery.

How do I set up an account with Coyote?

Opening an account with us is straightforward. Customer fills out an online DocuSign application with the company’s details, sends it to our finance team, and they will conduct credit and background checks, usually within a couple of hours. Once approved, the account is active. For booking shipments, each customer is assigned a personalized account manager based in either our Dover or Poland office, depending on location and language needs. Additionally, customers can use our online portal, CoyoteGO, to book shipments, track details, and manage customs documents. If interested, we provide a demonstration of CoyoteGO’s features.

2. Daily Operations

Who do I talk to when placing an order with Coyote?

You will be assigned to an Account Manager who will be your single point of contact for all bookings. They will communicate with you throughout the lifecycle of a load, keeping you informed of progress and making sure your queries are answered. Don’t worry – there is a whole operations team behind your account manager who are also working in the background to ensure your shipment goes smoothly.

How do I place a booking with Coyote?

We can receive bookings multiple ways according to your preference. For ease of use and control over your shipments, you can build orders directly into CoyoteGO, or why not explore an API/EDI connection. Load orders can also be sent directly to your assigned Account Manager who will ensure your bookings are processed according to your requirements.

How do I find out the location of my shipment?

Your Account Manager will be you updated though the order journey and will be reachable for ad hoc updates. If you prefer more direct access, you can view shipment progress on CoyoteGO and see exactly where your assigned vehicle is through GPS integration. If you would prefer automated updates, these can be scheduled to be delivered to yourself regularly via email according to your preference.

What reporting is available to me?

Coyote has an extensive reporting suite, enabling you to view information on your shipments, including financials, on-time pickup and delivery performance and a host of other KPI’s. These can be customized and delivered according to your needs

Will I be able to access out-of-hours support?

Yes! Coyote has a 24/7 Operations team, available to support Customers and carriers with all out of hours matters.

My orders require that collection/delivery slots be secured through a 3rd party platform, is this an issue?

No, Coyote use most large transport management systems and can easily onboard or integrate as required.

My freight delivers into Amazon, is Coyote able to secure delivery slots?

Yes, through preferred carrier status with Amazon, we can secure preferential delivery slots. Ensuring requisite transit times and preventing costly delays.

3. Coyote Technology

What are the basic features of your digital platform?

Basic features of our CoyoteGO digital platform are as follows:

  • load building and load booking on customer’s schedule;
  • live shipment tracking for instant peace of mind;
  • full access to customs documents;
  • streamlined invoices and CMRs management.

What are the integration possibilities?

We support all standard and wide range of integration possibilities starting from both API and EDI. If your company uses popular logistics platforms or online freight exchanges, we enable integration with them for seamless transactions and information exchange.

Do you enable cargo tracking?

Yes, cargo track and trace options are available for our customers. We cooperate with project44, our chosen partner responsible for providing shippers with real-time cargo visibility, so they know where their loads are at all times.

4. Financials

Can Coyote provide a credit facility?

Yes – subject to full completion of our credit application form and credit checks through our credit reference agency.

What payment terms do Coyote offer?

Our standard payment terms are 30 days from date of invoice.

Can I have an account with no credit limit?

Yes – we can issue proforma invoices so that any orders can be paid for up front.

How will I be invoiced?

Coyote can invoice in several ways:

  • On a load-by load basis – Once your shipment is marked as delivered in our system, your invoice will be automatically emailed out to you.
  • Weekly Consolidated – We can group all shipments for the prior week and invoice on one .pdf document.
  • Monthly Consolidated – As above but for the prior month.

Can Coyote send CMR’s/POD’s with invoices?

Yes – if you choose to receive individual (load-by-load) invoices we can provide CMR’s/ POD’s with these.

Can I retrieve statements and invoice copies easily?

Yes – these can all be accessed and downloaded from CoyoteGo.

How can I pay Coyote?

We hold EUR and GBP bank accounts and can accept electronic bank transfers.

5. Legal Essentials

What terms and conditions does Coyote Logistics operate under?

Our services are governed by our Shipper General Terms and Conditions as well as FENEX terms. You can review our Shipper General Terms and Conditions and the FENEX terms on our website or request a copy from your customer service team.

How is insurance handled for shipments?

As a freight forwarder, we offer insurance coverage as per the FENEX terms. If you require higher insurance limits for your shipments, please contact your commercial representative or complete and submit the insurance request form available on our website.

What should I do if I have a complaint regarding the services provided?

6. Customs

What documents are required to initiate the customs clearance process?

To initiate the customs clearance process, the following documents are required:

  • Commercial Invoice –a document confirming the sales transaction.
  • POA (Power of Attorney) –authorization to represent the client in customs matters.

Is a POA required for every shipment?

A POA is not required for every shipment if it involves the same shipping line. However, if there is a change in the buyer or seller on the invoice, a new POA will be necessary.

How long does it take to set up a client who wishes to entrust you with customs matters?

The client setup process may take up to 48 hours.

How long does the customs clearance process take?

We strive to complete the customs clearance process within two hours.

Can you pay customs duties on behalf of my company?

Yes, we can pay customs duties on your behalf, but this will involve an administrative fee charged to the client.

Is indirect representation possible?

Yes, indirect representation is possible, but it is handled on a case-by-case basis.
